What happens to what you send us
Rent Waterloo is a leasing desk operated by William Forbes, Salesperson, The Rego Team, Corcoran Horizon Realty, Brokerage, #101 50 Grand Ave S, Cambridge, Ontario. This page says plainly what is collected on the forms, why, and how to be removed. Last updated September 9, 2026.
What the forms collect
Landlords: your name, email, phone if you give it, the building and unit, when it is available, the rent you have in mind, bedrooms, and any notes you add.
Renters: your name, email, phone if you give it, the buildings you are interested in, your move-in month, bedrooms, a budget band, how many people will live in the home, and any notes you add.
The renter form does not ask for income, employment, identification or documents. Screening happens only when you apply for a specific unit, through a report the landlord pays for, and you will be told exactly what is being checked at that point.
Why it is collected
To lease units for landlords and to match renters to units. That is the whole purpose. Your details are not sold or shared with advertisers.
Consent
The checkbox on each form is your express consent for William Forbes to email and call you about the purpose above. The wording you agreed to, the time, and the page you were on are stored with your record. You can withdraw consent at any time by replying "unsubscribe" to any email or by writing to william@regoteam.com. Removal is immediate and applies to every automated message.
Where it is stored and who processes it
Records live in a database hosted in Canada (Supabase, Canada Central region) and in the operator's customer relationship system (HubSpot). Confirmation emails are sent through Resend or Google Workspace. Each of these providers processes the data only to deliver the service.
How long it is kept
Lead records are kept while you are an active landlord, renter or client, and free-text notes are cleared after 12 months of inactivity. You can ask for deletion at any time at the email above and it will be done within 30 days, apart from records that must be kept by law (for example, signed lease documents).
Fees
No fee is ever charged to a tenant or an applicant. Ontario's Residential Tenancies Act does not allow it. Landlords pay a leasing fee only when a lease is signed.
